Executive Assistant/Legal Secretary Health Care 217

National law firm with a primary focus on health care and life sciences; employment, labor and workforce management; and litigation and business disputes. Founded in 1973 as an industry-focused firm has decades of experience serving clients in health care, financial services, retail, hospitality and technology, and representing entities from startups to Fortune 100 companies. Headquartered in NYC, the firm has 250 lawyers located in 12 offices throughout the United States. We are currently seeking a talented Executive Assistant/Legal Secretary to work in our St. Petersburg, Florida office. The Executive Assistant/Legal Secretary will perform a wide variety of administrative tasks which includes providing a high level of customer service and support, while consistently producing an excellent work product. The Executive Assistant/Legal Secretary maintains general knowledge of the firms practice groups and a specialized knowledge of the assigned attorneys practice area and clients in order to ensure extraordinary client satisfaction. The ideal candidate will have a Bachelors degree in a related field and a minimum of 5 years of Executive Assistant/Legal Secretary experience, preferably in a law firm.

Duties and responsibilities:
Manage the day-to-day schedules of the attorneys. This includes regular meetings to discuss priorities and deadlines. The ability to be proactive and think ahead are key. Assist attorneys with preparation of template contracts and other legal documentation of a routine nature. Create, edit and proofread work product to ensure accuracy. Maintain calendars including appointments, meetings, travel and trip plans, CLE reporting, and professional memberships for attorneys. Prepare and maintain spreadsheets and databases for legal files and initiatives. Process Accounts Payable and Receivable.Routine research of statutes and laws. Processing reimbursements, expense reports and check requests. Effectively manage projects by meeting deadlines and conducting follow-up as needed. Responsible for coordinating with Marketing and the Chief Planning Officer around marketing initiatives; coordinates with the Marketing Department to update attorney bios, add events, articles, or news to the firms website. Assist with event planning coordination and support, including internal and external events. Inputs, reviews, edits, and closes timekeepers' time entries through the firm's web-based time entry program using firm standards. Handles monthly client billing. Reviews billing proformas for accuracy and completeness. Performs client, matter and timekeeper inquiries, and narrative edits. Opens new matters and generate client conflict checks. Sets up and maintains timekeeper's work files, including daily and regular filing. Indexes and prepares files for off-site storage. Prepares annual and/or supplemental audit letter responses. Answers telephones and accurately takes and relays messages. Arranges for video conferencing and sets up conference calls. Opens and sorts mail; prepares material for mailing. Handles photocopying projects. Assumes responsibility for maintaining the highest level of confidentiality of all Firm and client information, records and files, both within and outside of the Firm. Order and maintain office supplies and equipment. Provide general housekeeping duties for conference room and reception area. Other duties as assigned.

Qualifications:
Working knowledge of Microsoft Word, Excel, and PowerPoint. 60 wpm typing speed, excellent grammar, spelling, punctuation, and communication skills. Attention to detail and good organizational and analytical skills. Flexible attitude and the ability to deal well with changing assignments and priorities. Flexible for overtime. Ability to multi-task. Professional appearance and demeanor. Billing experience preferred (including electronic billing). Law firm experience working with high-level partners preferred. College degree required.

Salary:
$60K to 63K plus full benefit package

LEGAL ASSISTANT 237
Needed for National Insurance Defense Law Firm in Downtown St. Petersburg. This position will support a partner and associates and require 2-3 years of legal assistant experience.

Duties:
Typing general correspondence, memoranda, and complex legal documents. Proofreading documents and check for appropriate formatting, spelling, and grammar. High volume scheduling and litigation. Electronic filing in both Federal/State courts.

Qualifications:
High school diploma, Bachelors Degree a plus, 2-3 years insurance defense litigation experience. Strong working knowledge of court procedures. Excellent typing and organization skills. Proficient in Microsoft Office programs. Excellent oral and written communication skills. Ability to multitask and meet deadlines. Excellent attention to detail and strong work ethic.

Salary:
$40K (35 hour work week 9-5) Plus excellent benefit package and paid parking.
