FEATURE POSITION


Executive Assistant/Health Care 203

Downtown St. Petersburg, Florida Law firm looking for an experienced Executive Assistant to support two busy attorneys in the Health Care practice group. The ideal Executive Assistant will perform a wide variety of administrative tasks which includes providing a high level of customer service and support, while consistently producing an excellent work product. The Executive Assistant maintains general knowledge of the firms practice groups and a specialized knowledge of the attorneys practice areas and clients in order to ensure extraordinary client satisfaction. Standard duties include editing and finalizing documents, entering time in Elite, processing reimbursements, interacting with clients, travel arrangements, coordinating attorneys calendars, processing new business intake forms, expense reconciliation and coordinating billing processes for assigned attorneys. Assist with event planning coordination and support, including internal and external events. The candidate must also use exceptional judgement and discretion for carrying out work assignments and setting work priorities. Job Requirements: Excellent verbal, writing, grammar and proofreading skills are required to produce quality work. Must have strong organizational skills, the ability to meet assigned deadlines and build/maintain positive working relationships with the assigned attorneys, external clients and other staff members. Attention to detail and strong communication skills and the ability to think through processes and anticipate needs are also required. Preferred Education and Experience: The ideal candidate will have a Bachelors degree in a related field and a minimum of five years of Executive Assistant experience, preferably in a professional services environment. Successful candidates will have demonstrated proficiency in Microsoft Office Products (Word, Excel, PowerPoint and Outlook). Salary $60K to 62K plus full benefit package including 100% paid health insurance and Profit Sharing Contribution.

Prepare trial exhibits, trial notebooks; assisting with jury instructions; coordination of expert reviews, trial preparation and attendance at trial. Salary $50K-$55K plus full benefits.

Working knowledge of Florida Court procedures and be familiar with eService and eFiling. Excellent communication and organization skills; ability to prioritize multiple time-sensitive tasks; willingness to be flexible with job responsibilities. Salary $40K-$42K plus benefits.

Needed for Downtown St. Petersburg law firm. This position will be a floater to the support staff, cover vacations and relieve the receptionist as needed. Experience is required preferably in insurance defense but willing to offer some training. Duties: Opening files; Scheduling; prepare legal documents; e-filing, etc. Qualifications: Excellent communication and organization skills; ability to prioritize multiple time-sensitive tasks; willingness to be flexible with job responsibilities.
